Message templates
Welcome messages that sound like you, not like a robot.
Four short messages cover most stays: after booking, before arrival, the first evening and before departure. Add a welcome letter on the table and guests know someone is looking after them.
Short answer
Keep each message short, use the guest’s name, give only what they need at that moment, and link to your full guide for everything else.
1. Right after booking
Hi [guest name], thank you for booking [property name]. We are looking forward to having you on [dates]. We will send check-in details [two days] before you arrive. If you have any questions before then, just ask. [your name]
2. Before arrival
Hi [guest name], your stay is coming up. Check-in is from [15:00]. Address: [address] Keys: [key box / smart lock], code [code]. Everything else, from Wi-Fi to our favourite café, is in your guide: [guide link] Safe travels!

3. The first evening
Hi [guest name], we hope you found everything. If anything is missing or not working, message us and we will sort it. Enjoy your evening.
Send it a couple of hours after check-in. It catches small problems while they are still small.
4. Before departure
Hi [guest name], a reminder that check-out is at [11:00] tomorrow. Please [close the windows] and [leave the keys on the table]. Thank you for staying with us. Safe travels.
A welcome letter for the table
Dear [guest names], Welcome to [property name]. We hope you feel at home. The Wi-Fi is [network], password [password]. Everything else about the house is in the guide on the fridge: scan the code with your phone camera. If you need anything, call or message us on [phone]. Have a lovely stay, [your names]
Handwrite it if you can. Even one handwritten line at the bottom makes a difference.

What should an Airbnb welcome message say?
Thank the guest, confirm the dates, say when they will get check-in details, and invite questions. Keep it to four or five lines.
Can I schedule these messages?
Airbnb has scheduled messages and quick replies for hosts. Other platforms and channel managers have similar tools. Write the text once and reuse it.
What do I write in a welcome letter?
A short welcome, the Wi-Fi details, where to find the house guide, and how to reach you. Sign it with your names.
